Team approvals — guide for team leads & HR

Team leads approve their team's attendance corrections, overtime and leave from the worker app; HR monitors and pays approved overtime from the dashboard. Flow, notifications, setup, and a demo script.

With team approvals, the person who knows an employee's work best — their lead — decides attendance corrections, overtime and leave, straight from their phone. HR stops being everyone's queue: HR monitors, steps in when needed, and pays the overtime that was approved.

Optional feature

Team approvals are enabled per company. Contact us to turn them on; this page explains how they work once enabled.

Who approves what

Every request goes to one level of approver:

  1. The employee's line manager (atasan langsung), if they have one.
  2. Otherwise the Kepala Departemen (department head) or Approver Cadangan (backup approver) of their department.
  3. If neither exists: Admin/HR.
What the employee submits Decided by
Attendance correction (missed clock-in/out, wrong time) The approver above
Overtime (time outside the shift beyond the overtime threshold) The approver above
Leave, permission & sick leave The approver above
  • HR can still decide any request from the dashboard. It is recorded as an override, so you can always see who should have decided and who did.
  • Nobody decides their own request. A team lead's own request goes to their lead.
  • Every decision is in the audit log.

For team leads: in the worker app

  1. Open the worker app. On the home screen, the Persetujuan Tim (Team approvals) card shows how many requests are waiting for you.
  2. The first time you open Persetujuan Tim, tap Aktifkan Notifikasi (Enable notifications) so new requests reach your phone.
  3. Koreksi (Corrections) tab: check the proposed times, then Setujui (Approve) or Tolak (Reject — a reason of at least 5 characters is required).
  4. Lembur (Overtime) tab: check the shift and clock times. Approve as requested, or lower the minutes with − and tap Setujui sebagian (Approve partially).
  5. Cuti, izin & sakit (Leave): tap the card to open Persetujuan Cuti, check the type, dates and attachment (doctor's letter), then decide.
  6. Rekap absensi tim (Team attendance) shows who is present, late, on leave, or has not clocked in today.

Bulk approve (ACC massal)

When many routine requests pile up, use Setujui semua yang lengkap (approve all complete corrections) or Setujui semua sesuai pengajuan (approve all overtime as requested):

  • Only corrections with both a clock-in and a clock-out can be approved in bulk. Overtime is approved for the minutes requested.
  • The list is frozen when you open it — untick anything you want to check first. Up to 100 at a time.
  • Requests whose minutes you changed, or that you are rejecting, are left out — decide those one by one.
  • Rejecting and partial approval are always one by one.

Notifications and reminders

  • On submit: the lead who should decide is notified (with a phone push if notifications are on). HR is not flooded with requests that are a lead's job.
  • Every morning at 08:05 WIB: one reminder with the number of requests still waiting.
  • Undecided for more than 3 days: the request is escalated to Admin/HR, once per request.
  • Forgot to clock in: an employee who filed a clock-in correction can still tap Absen Pulang (Clock out) that same day; the clock-out time is saved on the correction.

For HR: in the dashboard

  • Absensi › Koreksi and Absensi › Lembur: every request shows Seharusnya di-ACC oleh (should be approved by), then Diputuskan oleh (decided by) with its Riwayat (history). Select several and click Setujui terpilih (approve selected) to bulk approve.
  • Cuti › Persetujuan (Leave approvals) also shows Seharusnya di-ACC oleh on every pending request.
  • The Atasan (Approvers) panel above the corrections queue shows each lead's team size, backlog and oldest item, whether their notifications are on, and their last decision. Use it to nudge leads who fall behind.
  • Before paying: when you Tandai Dibayar (mark paid), Kunci (lock), or download the attendance report, the app warns if corrections or overtime in that period are still undecided — and names the lead.
  • Payroll › Rekap Lembur (overtime recap): approved overtime in rupiah per employee for one pay period, with an Excel download. How it is priced is in Pay components.

Implementation checklist

Before enabling, make sure this data is right — it decides where every request goes:

  1. Each employee's line manager: the Email Atasan column of the onboarding template (Import Karyawan), or send the list to our team.
  2. Kepala Departemen and Approver Cadangan Cuti for every department (Departemen › edit department). They cover employees without a line manager.
  3. A work schedule for every employee for the current period (Shifts and schedules), with the right Ambang Lembur (overtime threshold) on the shift. Without a schedule, overtime is not detected.
  4. The Gaji Pokok (base salary) of everyone who earns overtime, and the Lembur (Gaji Pokok ÷ Hari Kerja ÷ 8) component linked to them.
  5. Ask every lead to log in to the worker app and enable notifications. The Atasan panel shows who has not.

Demo script (15 minutes)

Prepare one employee and their lead, each logged in on a different phone.

  1. Employee files a missed clock-in correction, then taps Absen Pulang. Show the notification arriving on the lead's phone.
  2. Lead opens Persetujuan Tim, approves the correction, and shows Rekap absensi tim.
  3. Employee stays past the shift and files overtime. Lead approves part of it (for example 2 hours down to 1).
  4. Employee files sick leave with a photo of the doctor's letter. Lead opens it from the Cuti, izin & sakit card and approves.
  5. HR in the dashboard: show Seharusnya di-ACC oleh / Diputuskan oleh, the Atasan panel, then Payroll › Rekap Lembur and download the Excel.
  6. Finish with the warning before Tandai Dibayar when something is still undecided.

Common problems

  • Requests go to HR instead of the lead. The employee has no line manager, and their department has no active head or backup approver.
  • The lead gets no notifications. Notifications are not enabled on their phone (see the Atasan panel), or notification permission was denied in the browser/phone.
  • No bulk approve button. No request qualifies — for example every correction only has a clock-in.
  • Overtime never appears as a request. The employee has no shift scheduled that day, or the time outside the shift has not passed the Ambang Lembur.
  • Rekap Lembur flags "Gaji pokok belum diisi". Fill in the base salary on the employee profile; until then their overtime is priced at Rp 0.
